The Electronic File Cabinet Saving and Storing Files |
![]() |
One of the great things about computers is that you can save your work in electronic form on your hard drive or other storage devices so that it is available to you in the future. Once a file is saved you can access that file again to easily update information and make changes without having to redo the whole document.
Do you know how to save your work? For a quick lesson, go to: Creating and Saving Documents
When you are creating documents make sure that you save often. It only takes a couple of seconds and can save you lots of frustration if something happens to your computer as you are working. In many programs you can set your options to save regularly. If you tend to forget to save this may be something that you would like to do.
It is also a good idea to back-up your files periodically just in case something happens to your computer. A computer is only a machine and sometimes it may crash or components such as the hard drive may fail. In many of these cases you could lose all your files if your system needs to be rebuilt or your hard drive needs replacing. The most common way of backing up your files is to copy them to CD's or disks.
Organizing Your Electronic Files
As you create more and more files and save them into your documents folder, it will start to look like your catch-all junk drawer and it will take you more time to sift through all the stuff to find what you want. What you need to do is organize the files, so that those of similar topics are in the same folder. It is the same as organizing your kitchen - pans in one cupboard, plates and dishes in another, and canned food in another place.
For a quick lesson on organizing your files go to: Organizing Personal Files and Folders
Once you have completed the tutorial, go to your documents folder and see if you can create folders for your work at school. For example: Create and name a folder for each of the classes that you are taking so that you can keep all the files for that subject in the same location.
Remember: Avoid the frustration of losing your work -- SAVE..SAVE..SAVE!!! and BACK UP!
